Our Lady of Peace Parish
Position Summary:
Our Lady of Peace is seeking a part-time Administrative Assistant I position responsible for providing a full range of administrative and receptionist services for a large parish organization. Bi-lingual in English & Spanish is required. Will oversee the parish data base system, part time coverage of the reception, and responsibilities in the main office area of the parish. Will ensures that all phone calls and office visits are handled efficiently, professionally, and in a caring manner. With the desire to minister to all. The position will report directly to the Office Manager and assist the Manager in the orderly operations of the parish office.
Qualifications:
- Bilingual in English and Spanish is required.
- Minimum 2-5 years of experience in a related position with related responsibilities.
- Be the voice and face of the parish to those calling or visiting the parish office; great customer service skills.
- Personable, well-organized, able to work in a team setting, good time management, ability to multitask and meets deadlines.
- Must be attentive to detail with good verbal and written communication skills.
- Dependable, responsible, self-motivated, creative, confidential and accountable.
- Can sit for extended periods of time.
- Computer proficiency including Outlook, Microsoft Word, Excel, PowerPoint, Publisher and ParishSoft.
- Must successfully pass required background and fingerprinting check as well as Safe
environment training.
Specific responsibilities:
- Process new and updated registration information of current and new parishioners, sending welcome letters and maintaining all information in the ParishSoft database.
- Maintaining the parish offering envelope system, recording parishioners’ donations in the ParishSoft System and the responsibility of mailing out the yearly contributions statements in addition to select monthly statements.
- Maintain the sacramental information on database and help record in sacrament record books.
- Help maintain the online Mass Intentions scheduling program and record the donations.
- Provide hospitality and proper communication when serving our parishioners while on the parish property, as your actions are always an impression of our parish.
- Operating the telephone system, taking/transferring calls and disseminating messages to concerned staff.
- Supervise and keep healthy relationships with Office Reception Volunteers. Train them when needed.
- Other assignments as requested by the Pastor and Office Manager.

Hours: Primarily Part-Time, T-F 3:00pm-7:00pm and Sat 8:30am-12:30pm, but flexible to work weekday mornings as needed on flex-time basis (or as otherwise agreed upon at time of hire).
Hourly Wage,1 paid 15min break (2 if hours extend), 30 minute lunch (unpaid) if work goes over 5hrs.
Compensation: $21.00 – $23.00 depending on experience.
