The Synod Logistics Coordinator will report to the COO. The Logistics Coordinator assists the COO in the administration and management of the Synod process. The Logistics Coordinator oversees logistics, events and Synod projects that the department is responsible for hosting and completing. The Logistics Coordinator is responsible for managing and prioritizing events and projects the Synod Steering Committee by reviewing project requirements, scope, defining project schedules, project priorities, risks, and projecting completion of project requirements.

Essential duties and responsibilities include the following:

  • Ability to work within a team environment with staff, church officials and volunteers.
  • The Logistics coordinator assists the COO with
    • Project staff agendas and events
    • Maintaining project calendar and logistics
    • Maintaining event and project list and deliverables
    • Communications from the COO
  • The Logistics coordinator works closely with the Synod Steering Committee, takes notes at meetings and supports the Synod Team projects and events by
    • Assigning and managing priorities
    • Complete projects and special assignments in a timely manner
    • Establishing objectives, determining priorities, managing time, and gaining cooperation of other persons, projects and adjusting plans accordingly.
    • Meet with Synod Steering Committee to review and define event and project lists.
    • Assist in planning the General Assembly
  • Prepare all events to insure compliance with insurance requirements and letters of good standing.
  • Responsible for verifying all event team members’ fingerprints are clear and safe environment is complete with assistance of Office of Protection for Children and Vulnerable Adults.
  • Coordinate venues, transportation, catering, policy and compliance issues and communications with local contacts for events in the department.
  • Responsible for coordinating and arranging volunteers provided for necessary projects.
  • The Logistics Coordinator requires someone with high energy, flexibility, working well with persons from other cultures, strong project management skills and proactive attitude.

Qualifications to perform the job successfully:

To perform this job successfully, the Logistics Coordinator must be able to perform each essential duty satisfactorily. Education and/or Experience:

Bachelor’s degree with a minimum of 3-5 years administrative experience or equivalent combination of education and experience.  In addition, experience working in ministries and an understanding of the Roman Catholic Church structure and ministry.

Language Skills:

Ability to speak, read, write and translate English and Spanish fluently is preferred. Excellent interpersonal and communication skills is required.

Computational Skill:

Basic Math Skills

Reasoning Ability:

Ability to problem solve, deal with a variety of situations and troubleshoot technical difficulties with equipment.  Ability to interpret a variety of instructions in written, oral diagram or schedule form.  Ability to multi-task and effectively coordinate various events at the same time through self-initiative and self-motivation.

Technical Skills:

Proficient in Microsoft Office tools, Adobe Creative Suite, Zoom, Blogs, Exact Target, WordPress, and Google Drive. Ability to maintain database files and merge documents.

Certificates, Licenses, Registrations:

Valid Driver’s license preferred, as this position may require some travel to diocesan sites.

Physical Demands:

While performing the duties of this job, the employee is regularly required to sit for an extended period of time and use hands in repetitive motion.  Must be able to frequently lift and/or move up to 40 pounds.  Also, have vehicle to transport equipment for in-house and outside activities or events for the Department for Synod is preferred.

Working Conditions:

The employee must be physically present in the Department for Synod, able to work cooperatively with other members of the staff and with clients and be able to multi-task. The employee is expected to work normal office hours (8:30 A.M. – 5:00 P.M.) Monday – Friday. Occasional evening and weekend meetings, but overtime and/or travel are rarely required.

Other requirements:

  • Knowledge of the Catholic Church structure, culture, and its mission.
  • Maintain confidentiality and work cooperatively and collaboratively with other members of the staff as well as with staff members outside the department, including church officials and representatives, parish staff and volunteers.
  • Able to multi-task and provide good customer service.
  • Travel and overtime (if applicable) may be required occasionally.
