osition Summary:
The Cathedral Basilica of St. Joseph is currently seeking a full-time administrative assistant who will
be responsible for duties and responsibilities in the main office area as well as working with requests
for baptisms, weddings, and quinceañeras. As a bilingual parish, Spanish is required in order to work
with all parishioners and the inquiries that are made. This person will ensure that all inquiries made
(in-person, phone calls, emails) are handled in a manner that is professional and efficient and within
the policies and guidelines of the Parish and Diocese of San Jose.

The position is a full-time 40 hours/week, non-exempt position, which will work closely with the
Priests, Staff members and Volunteers of the Cathedral. This person of faith is responsible for being
a liaison with those that come to the Cathedral office and making them feel welcomed while assisting
them with their inquiries or other needs.

Specific duties/responsibilities include:
• Handling incoming inquiries efficiently, professionally and with a positive attitude to all who
come to the Cathedral office.
• Receptionist duties of answering calls, taking messages, giving information, or directing to
appropriate staff member or area.
• Receive, sort, and distribute incoming mail, and other deliveries to the office.
• Process new and updated registration information of current and new parishioners, sending
welcome letter and maintaining all information in the ParishSoft database.
• Maintain sacramental information in sacramental registers and fulfill requests for sacramental
certificates.
• Maintain master facilities calendar online to ensure all ministries and events are booked for
use of facilities by parish and outside users.
• Handle scheduling of mass intentions and submitting quarterly data.
• Collect, receipt, and record fees, payments, and donations in accordance with diocesan
guidelines on handling cash/checks and donations. Create appropriate reports as needed.
• Record donations/contributions and fees appropriately in ParishSoft.
• Responsible for the management, coordination, and scheduling of baptisms, weddings,
quinceañeras, and funerals with the concerned parties and staff members.
o Handle inquiries and questions from parents for baptisms, engaged couples, and
families for quinceañeras.
o Maintain Schedules, Policies, Registrations, and other information for these events.
o Prepare and assist with Info Night sessions as well as baptismal prep classes, Day of
Recollection for Engaged Couples, etc.
o Ensure process is completed from beginning to end with needed forms, documents,
certificates, notifications, and entries for each event/Sacrament.
o Provide support and coordination with volunteers, day-of-event coordinators, priests.
• Assist with bulletin as needed and with Cathedral office mailings.
• Attend and contribute to monthly Pastoral Staff Meetings.
• Other assignments as requested by the Pastor and Office Manager.

Qualifications:
• A practicing Catholic and possess a strong commitment to minister to all in this work.
• Bilingual in English and Spanish is required.
• Minimum 3-5 years of experience in a related position with related responsibilities.
• Be the voice and face of the Cathedral to those calling or visiting the parish office.
• Great customer service skills.
• Personable, well-organized, and able to work in a team setting and meets deadlines; must be
attentive to detail with good verbal and written communication skills.
• Dependable, responsible, self-motivated, creative, and accountable.
• Computer proficiency including Outlook, Microsoft Word, Excel, PowerPoint, and Publisher.
• Must successfully pass required background and fingerprinting check as well as Safe
environment training.
