Position Title:  Associate Director of Operations & Research

Office:    Mission Advancement

Reports To:  Chancellor Classification: E-6

Primary Function

This position is responsible for providing the Office for Mission Advancement (OMA) with proactive development and implementation of fundraising infrastructure, policies, personnel management, and initiatives. This responsibility includes the direction and overall implementation and supervision of gift administration and services, donor information, data analytics, and research for the Office for Mission Advancement.  The Associate Director of Operations and Research will also manage the daily operations of OMA’s various fundraising initiatives by directly supervising and supporting the effective performance, workflow, and growth of development staff. Working closely the Director of Major Gifts and Campaigns and the Associate Director of FACE, the Associate Director will help facilitate mission building efforts through identification, cultivation, and stewardship efforts. The Director of Operations Y Research will also help coordinate and maintain financial records and provide reports necessary for monthly accounting closes and reconciliations, tax filings and financial audits. Under the direction of the Chancellor and in collaboration with the Associate Director of FACE & the Director of Major Gifts and Campaigns, the Associate Director will help determine and implement overall Diocesan development strategies and initiatives. These initiatives, as well as the Associate Director of Operations and Research’s efforts, will be directly linked to the goals, mission, and values of the Diocese of Oakland.

Duties and Responsibilities


  • Lead and facilitate the OMA gift processing and analytics team, acting as the primary report for several OMA development positions.
  • Acts as the main staff liaison with account contact to Blackbaud/Raiser’s Edge and other vendors.
  • Performs additional duties as needed.


  • Facilitates and develops with the Director of Major Gifts and Campaigns annual fundraising plans and project management of all fundraising activities, including foundation fundraising, fundraising appeals and special events.
  • Lead OMA prospect and foundation research efforts, determining strategy and implementation. Identifies, researches, and profiles prospect organizations and foundations, evaluating them in terms of capacity and inclination.
  • Create and manage the overall prospect and foundation moves management system, designing the tracking & accountability mechanisms and drafting the corresponding protocol.
  • Develop metrics to guide the development team in analyzing the effectiveness of fund raising strategies, activities and tactics. Produces reports and analytics for external and internal applications.
  • Draft and manage all OMA policies and procedures, particularly those involving gift acknowledgement and entry, scholarship tracking and data entry, and donor correspondence.
  • Responsible for the creation of program budgets as needed.


  • In conjunction with the Executive Director of FACE, Director of Major Gifts and Campaigns, and the Chancellor, helps delivers an annual plan that identifies strategies and tactics for increasing giving, providing effective donor stewardship, increasing donor retention, attracting new donors, and deepening community engagement.

Education and Experience

  • Bachelor’s degree in Information Systems Management, Marketing-Communications, Management, or related liberal arts field preferred.
  • A minimum of two (2) years of program management, analyzing data and publishing results, team supervision and leadership experience.
  • Advanced knowledge of CRM databases such as Raiser’s Edge or Salesforce.
  • Non-profit finance and accounting, fundraising or relative experience preferred.
  • Knowledge of computer database systems and software packages, especially in a Windows environment for personal computers.
  • Electronic database search experience.

  • Strong organizational skills and professional maturity.
  • Must believe and demonstrate team first behavior and present a positive and professional image as a member of the Office of Mission Advancement and the Diocese of Oakland.
  • Extensive computer skills including knowledge of the Raiser’s Edge software; Microsoft Office Suite; Blackbaud’s Analytics; LexisNexis; search engines and other on-line databases.
  • Must demonstrate knowledge and understanding of generally accepted accounting principles and bookkeeping functions, while adhering to recognized fundraising and research ethics policies and standards as set forth by the Association of Professional Researchers of Advancement (APRA).
  • Understanding of the function of prospect research in an advancement office, of prospect/library methodology, and of the use and availability of a variety of hard-copy and computerized sources; skilled in reading and interpreting financial, technical, and trade documents and journals, including annual reports, real property files, and court records.
  • Must be persistent and resourceful, especially in exploring and adapting program and development methodology.
  • Must be highly organized, able to work independently, and have an ability to work under pressure to coordinate multiple requests and meet competing deadlines.
  • Must possess excellent writing, editing, and communication skills.

Physical Requirements/Environmental Conditions

  • Requires prolonged sitting.
  • Requires physical exertion to manually move, lift, carry, pull or push objects or materials up to 25 pounds.
  • May require occasional stooping, bending and reaching.
  • May work in changeable temperatures.
  • Will work in an office setting with office machines.
